Job Description

My client is a large scale public organization in Hong Kong. The team is seeking an experienced and strategic Head of Administration to lead the group's administration, facilities management, and workplace solutions. This role will be instrumental in shaping and implementing corporate-wide strategies, policies, procedures, service levels, and standards, ensuring the organization remains competitive and aligned with industry trends.

Key Responsibilities

Strategic Leadership:

  • Develop and execute comprehensive strategies for group administration, facilities management, and workplace solutions.
  • Formulate and oversee the implementation of policies, procedures, and standards to enhance operational efficiency and service quality.
  • Stay abreast of industry trends and innovations, integrating best practices to maintain a competitive edge.

Team Management:

  • Lead, mentor, and manage a diverse team, fostering a culture of excellence, collaboration, and continuous improvement.
  • Set performance targets, conduct regular reviews, and implement development plans to ensure team members achieve their full potential.

Facilities Management:

  • Oversee the management and maintenance of all company facilities, ensuring they meet safety, compliance, and functionality standards.
  • Develop and manage budgets for facilities operations, ensuring cost-effectiveness and efficiency.

Workplace Solutions:

  • Design and implement innovative workplace solutions that enhance employee productivity, satisfaction, and well-being.
  • Coordinate with other departments to ensure workplace solutions align with organizational goals and needs.

Administrative Excellence:

  • Ensure the efficient and effective delivery of administrative services across the organization.
  • Continuously evaluate and improve administrative processes to support the company's strategic objectives.


  • Bachelor's degree in Business Administration, Management, or a related field. A Master's degree is preferred.
  • Minimum of 15 years of experience in a senior administrative role, with a proven track record of managing large teams and complex operations.
  • Extensive experience in facilities management and implementing workplace solutions.
  • Strong leadership and people management skills.
  • Excellent strategic planning and organizational abilities.
  • Proficient in developing and implementing policies and procedures.
  • Exceptional communication and interpersonal skills.
  • Ability to stay current with industry trends and best practices.
  • Ability to think ahead and plan over a multi-year period.
  • Always looking for ways to improve and stay ahead of industry trends.
